Terms & conditions

Last updated 22 August 2026

These terms govern travel arrangements sold and operated by Vannu Tours, an annexure of CareStop India, GSTIN 24AAWFC0426C1ZS, CIN ACT-8399, PAN AAWFC0426C, registered at SG Highway, Ahmedabad, Gujarat 382470, India (“we”, “us”, “Vannu”). By confirming a booking you accept them on behalf of every traveller in your party.

1. Quotations and pricing

Prices shown on this website, including those produced by our planner, are generated from current contracted and published rates and are indicative until confirmed in writing by us. A quotation is valid for seven days from issue and remains subject to availability at the moment you confirm.

All prices are in Indian Rupees for the party size, dates, travel style and departure city stated on your quotation. Changing any of those changes the price. Prices are based on twin-sharing occupancy unless stated otherwise.

Goods and Services Tax is charged at the applicable statutory rate and shown separately on your quotation and invoice. Where government levies, entry fees, fuel prices or third-party tariffs change between quotation and travel, the difference may be passed on to you; we will notify you before collecting it.

2. Booking and confirmation

A booking is confirmed only when we have received the confirmation payment and issued a written confirmation. Until then, no accommodation, seat or service is held for you.

You must provide accurate names exactly as they appear on the government photo identification each traveller will carry, along with ages for all children. Costs arising from incorrect passenger details — airline name-change fees in particular — are your responsibility.

The lead traveller named on the booking is responsible for all payments and is our point of contact for the entire party.

3. Payment schedule

  • 50% of the total invoice is payable no later than 22 days before the date of travel. This amount confirms the booking and allows us to block your rooms and seats.
  • The balance is payable no later than 11 days before the date of travel.

Bookings made inside 22 days of travel require the first instalment immediately; bookings made inside 11 days require the full amount immediately. Where air tickets, rail tickets or non-refundable hotel rates form part of your package, we may require the full cost of those elements in advance; we tell you before you pay anything.

We reserve the right to treat a booking as cancelled, with cancellation charges applying, if a scheduled payment is not received by its due date.

4. What is included and excluded

Your quotation and brochure carry a specific inclusions list and a specific exclusions list. Those lists, not this page and not any conversation, define the scope of what you have bought. If something matters to you and it is not on the inclusions list, ask us before you pay.

Three things are never included in any Vannu package, at any travel style:

  • Monument, fort, palace and museum entry tickets. We route and time your sightseeing and the vehicle takes you to every site on your plan, but the gate fee is settled by you on the day. Your brochure carries an estimate so you can budget for it.
  • Paid activities — safaris, boat rides, ropeways, adventure sports, ticketed shows and similar — unless one is written expressly into your inclusions list.
  • Travel insurance. See clause 12.

5. Accommodation

Hotels are named in your brochure with the words “or similar”. If a named property becomes unavailable we will substitute a property of equal or better standard in the same band and inform you in advance where possible.

Standard check-in is 2:00pm and check-out 11:00am unless we have confirmed otherwise for you in writing. Early check-in and late check-out are requests, not guarantees, and may attract a charge.

Room categories, bedding configuration and views are as stated on your confirmation. Triple rooms in India generally mean a twin room with an extra mattress or rollaway bed.

6. Transport

Ground transport is provided in a private, air-conditioned vehicle appropriate to your group size, with a driver, for the duration stated. The driver is a driver, not a guide, unless a guide is separately included.

Vehicles are not at your disposal for unlimited running. Itinerary-based usage is included; substantial unplanned detours may be chargeable, and we will tell you at the time rather than afterwards.

Air and rail tickets are supplied subject to the carrier's own conditions of carriage, which prevail over these terms in respect of those services.

7. Changes by you

Requests to amend a confirmed booking must be made in writing. We will make the change where it is operationally possible, and you will bear any resulting difference in cost plus any third-party amendment charges. Changes requested inside 11 days of travel are treated as a cancellation and a fresh booking, at the charges set out in our cancellation policy.

8. Changes by us

We plan carefully, but travel in India is subject to conditions beyond our control. We reserve the right to alter the sequence of an itinerary, substitute a hotel of equivalent standard, or modify arrangements where required by weather, road conditions, strikes, political events, monument closures, wildlife-park regulations, permit rules or the safety of your party.

Where a change materially reduces what you have paid for, we will refund the difference. Where a change is required for safety, we will act first and explain afterwards.

9. Cancellation

Cancellation charges, refund mechanics and third-party pass-through costs are set out on our cancellation and refund policy, which forms part of these terms.

10. Your responsibilities

  • Carry valid government photo identification for every traveller, including children, at all times
  • Obtain any permits, visas or clearances personally required of you, and meet any health requirements
  • Be at the stated place at the stated time; we cannot recover costs caused by lateness
  • Behave in a way that does not endanger, distress or unreasonably inconvenience others
  • Declare any medical condition, mobility limitation, dietary requirement or allergy at the time of booking so we can plan accordingly

We may, without refund, decline to carry or continue to carry any traveller whose conduct is, in our reasonable judgment, unsafe or seriously disruptive.

11. Health, fitness and risk

Some destinations we sell involve high altitude, remote roads, water activities or wildlife. You are responsible for satisfying yourself that every member of your party is fit to undertake the itinerary booked. Where an activity carries inherent risk you participate at your own risk, and you may be asked to sign an operator's waiver on site.

12. Insurance

Travel insurance is not included in any package we sell. What your package does include is access to our own 24x7 assistance desk while you are travelling, which is a service, not a policy, and pays out nothing.

We strongly recommend you take out travel insurance covering trip cancellation, medical treatment, emergency evacuation, baggage and any adventure activity you intend to do. We can arrange a policy for you separately — ask at the time of booking and we will quote it as its own line, distinct from your tour cost. If you decline cover, you carry those risks yourself.

13. Liability

We act as a tour operator and as an agent for the airlines, railways, hotels, transport operators and activity providers whose services form part of your arrangements. We select suppliers with care and are responsible for the proper performance of the services we ourselves provide.

We are not liable for loss, injury, delay, expense or inconvenience caused by events beyond our reasonable control, including but not limited to weather, natural events, road and route closures, landslides, epidemics, strikes, civil unrest, government or military action, carrier delay or cancellation, or the acts and omissions of independent third-party suppliers.

Save in cases of death or personal injury caused by our negligence, and to the extent permitted by Indian law, our total liability in respect of any booking is limited to the amount you have paid us for that booking.

14. Complaints

If something is wrong while you are travelling, tell your driver, the hotel and us at the time, using the number on your brochure. Most problems can be fixed on the spot and almost none can be fixed afterwards. Complaints raised for the first time after your return will be considered, but our ability to remedy them is limited.

Written complaints should reach reachus@carestopindia.com within 30 days of your return, quoting your booking reference.

15. Images and content

Illustrations and generated artwork on this website represent the character of a destination and are not photographs of specific rooms, vehicles or views. See our disclaimer.

16. Data protection

We handle your personal information in accordance with our privacy policy.

17. Governing law

These terms are governed by the laws of India. The courts at Ahmedabad, Gujarat have exclusive jurisdiction over any dispute arising from them.
