Pricing & what is included
Money
Is the price on screen the final price?
Yes, for everything listed. The total includes accommodation, the meal plan for
your travel style, all ground transport with driver for the whole trip, airport and station
transfers, tolls, parking, driver allowance, porterage, a guide where applicable, our 24x7
assistance desk, and airfare or rail if you selected it. GST is shown as its own line so businesses
can claim input credit.
Three things are deliberately not in it: monument and museum entry tickets, paid activities such as safaris and water sports, and travel insurance. Your brochure estimates the entry fees so you can budget for them, and lists the optional activities with their prices. We would rather show you those separately than bury them in a headline number.

Why does the price change when I change the month?
Because hotels change their rates by season, and so does everything downstream
of them. Peak dates in a destination cost meaningfully more than shoulder dates. The planner shows
you which season you have picked, so if your dates are flexible you can see instantly what moving a
fortnight would save.
Do larger groups get a better price?
Per person, usually yes. Vehicle cost is shared across more people, and above
fifteen travellers we can negotiate a room block rather than individual rooms. Against that, groups
of ten or more get a licensed guide included and groups of fifteen or more get a Vannu escort
travelling with them, both of which we build into the price.
How do children get priced?
Children aged 2 to 11 share their parents' room where the hotel allows it and
are charged for meals, activities and transport at a reduced share. Beyond one child per room an
extra bed is needed and that is priced in. Children under 2 usually travel free on the land portion;
airlines charge an infant fare. Tell us their ages and we will get it exact.
What is the payment schedule?
50% of the invoice by 22 days before your travel date, which confirms
the booking and lets us block your rooms and seats, and the balance by 11 days before you
travel. Book inside those windows and the instalment falls due straight away. Peak dates or
flight-inclusive bookings may need the airfare in full up front, which we tell you before you pay
anything.
How long does a quote hold?
Seven days from the date on your brochure, subject to hotels and seats still
being available when you confirm. Festival dates, long weekends and peak season move faster than
that, and we will say so if yours is one of them.
Planning & booking
How it works
How small or large a group do you take?
Two travellers minimum and fifty maximum on a single tour booking. Above fifty
we split into multiple vehicles with a lead coordinator — talk to us and we will structure it.
For corporate events of several hundred people, that is the MICE desk.
Can I change the itinerary after you send it?
That is rather the point. Tell us what to change — a different hotel band,
an extra night somewhere, a slower pace, a birthday to build around, a temple your mother wants to
see. We rework it and send a fresh brochure the same day. Nothing is locked until you pay the
confirmation amount.
Can I visit more than one place on the same trip?
Yes — pick up to three destinations in the planner. We split the nights
sensibly between them, add the transfer days, estimate each drive and bookend the whole thing with
your arrival and departure. If the combination genuinely does not work in the days you have, we
will tell you.
How far ahead should I book?
For ordinary dates, three to six weeks is comfortable. For Ladakh and the
Andamans in season, Kashmir in summer, or anywhere over Diwali, Christmas and New Year, book two to
three months out. Good hotels in small destinations sell out long before the flights do.
Do you handle solo travellers?
Our online planner is built for two or more because pricing is on twin sharing.
Solo trips are absolutely possible — call us and we will quote single occupancy, which costs
more per person for the obvious reason.
Getting there
Flights & trains
Can I travel by train instead of flying?
Yes, and on plenty of Indian routes we would recommend it. Choose “By
train” in the planner and we price confirmed berths in Sleeper, 3AC, 2AC or First AC depending
on your travel style, then handle the booking and send you the PNR before you travel.
How do I check my train status?
Once we send your PNR you can track live running and confirmation status on
ConfirmTkt, ixigo or the official IRCTC app — whichever you already use. We monitor it too and
will contact you if anything changes, but you never have to depend on us for information you can see
yourself.
What if my flight is delayed or cancelled?
Call the number on your brochure. We deal with the airline, rework the transfers
and warn the hotel. Where the airline owes you a refund or a reissue we chase it. Costs arising from
the delay itself — a missed hotel night, for instance — are outside our control and are
on the exclusions list, which is exactly why we recommend travel insurance.
Do you book international flights?
Yes, on enquiry, including group and incentive travel out of India. See the
flights page. We will also tell you honestly when a route is one you are
better off booking yourself.
On the trip
While you are away
Will the hotel be the one named in my brochure?
Almost always. Brochures say “or similar” because occasionally a
property oversells or closes a wing at short notice. If we have to move you it will be to an equal
or better property in the same band, and we will tell you before you travel, not on arrival.
Is the vehicle ours for the whole trip?
Yes. On every Vannu tour the vehicle and driver stay with you for the duration,
not just for transfers. Fuel, tolls, parking, permits and the driver's allowance are all inside your
price.
What if something goes wrong at midnight?
Call us. The number on your brochure is answered around the clock while you are
travelling. That is a large part of what you are paying an operator for.
Do I need travel insurance?
Yes — and it is not included in your package, because we never bundle it
in. What is included is our own 24x7 assistance desk, which is a service, not a policy. For trip
cancellation, medical treatment, evacuation, baggage and adventure activities you want proper cover.
We sell travel insurance separately: ask when you book and we will quote it as its own
line.
Changes & refunds
If plans change
What is your cancellation policy?
25% if you cancel 18 days or more before travel, 50% between 12 and 17 days,
and 100% inside 11 days, without exception — that is the point where our own suppliers
stop refunding us. Airline, rail and hotel charges are passed through on top, as levied. Full detail
on the cancellation and refunds page.
Can I move my dates instead of cancelling?
Usually, and it is nearly always cheaper than cancelling. Ask us as early as you
can. We will rebook what we can move and tell you plainly what is non-refundable — airline
tickets on cheaper fare classes are usually the sticking point.
How long do refunds take?
Our own portion is processed within 10 working days of agreeing the amount.
Airline and railway refunds run on their timelines, not ours, and can take considerably longer.
We chase them and keep you posted.
Do you invoice with GST?
Yes. Every booking is invoiced under GSTIN 24AAWFC0426C1ZS with GST shown
separately, so businesses can claim input credit. Give us your company GSTIN at the time of booking
and it goes on the invoice.
